Extract invoice data from email

The short answer

To extract invoice data from email, forward the invoice — or auto-forward your accounts-payable mail — to your Airbox address. Your own AI reads the email and its PDF or image attachments and emails back the vendor, invoice number, issue and due dates, line items, subtotal, tax, and total in a consistent format you can drop into a spreadsheet or accounting tool.

How to do it

  1. Create a free Airbox address and connect your AI provider key.
  2. Forward the invoice, or auto-forward your AP inbox to that address.
  3. Ask for the fields you want — “extract vendor, invoice #, dates, line items, tax, and total.”

Example

Subject: Fwd: Invoice #4821 from Acme Supply

(* @claude extract vendor, invoice number, issue date, due date, line items, subtotal, tax, and total as a single row *)

---------- Forwarded message ----------
...the email you forwarded...

PDF and image invoices are read too — text is extracted, images go to a vision-capable model.

What you get

  • Vendor, invoice number, and issue/due dates
  • Line items, subtotal, tax, and total — consistently formatted
  • A row you can paste into a sheet or accounting tool
  • Works with PDF and image invoices, not just the email body

Frequently asked questions

How is this different from receipt extraction?
Same engine, different fields. Invoices carry an invoice number, line items, payment terms, and a due date for money you owe; receipts confirm money already paid. Ask for whichever fields fit your workflow — Airbox pulls what's there.
Can it handle PDF and scanned invoices?
Yes. Text and PDF attachments have their text extracted, and image or scanned invoices are passed to a vision-capable model. Extraction is best-effort, so very low-quality scans may come back less complete.
Do I have to forward each email by hand?
No. Forward or BCC manually when you want, or set an auto-forwarding rule in Gmail, Outlook, or Apple Mail so matching mail reaches your Airbox address automatically and runs through your AI with no extra steps.
How much does it cost?
Airbox has a free plan to get started. You bring your own AI provider API key, so you pay the provider directly for the tokens you use — there is no AI markup from Airbox.
Is it safe to point Airbox at my real email?
Yes — that's exactly what Airbox is designed for. Airbox only acts on mail from senders you allow, and it only treats the subject and first body line (or a (* … *) block) as instructions. Everything else in a forwarded email is quarantined as untrusted content and never obeyed for your own security and privacy. Your API keys stay fully encrypted.
